Microsoft Entourage keyboard shortcuts (1)

You can quickly accomplish tasks you perform frequently by using shortcut keys — one or more keys you press on the keyboard to complete a task. For example, pressing z+F opens the Find dialog box, just as clicking Find on the Edit menu opens the Find dialogbox. 

Note Settings in some versions of the Macintosh operating system and some utility programs might conflict with keyboard shortcuts and function key operations in Microsoft Office. See Help for your version of the Macintosh operating system or your utility program for information about changing their keyboard shortcuts and function key settings. 

 

1) Keyboard shortcuts for working with items

1.1) Keys for common Microsoft Entourage functions

Press To
SHIFT (when startingEntourage)Starts Entourage without running schedules orattempting to connect to a mail server. Use this optionto prevent getting connection errors when usingEntourage while you are not connected to the network.
OPTION+z+Q Switch to a different identity.
z+S Save an item.
z+P Print an item.
OPTION+z+P Print one copy of an item, without selecting printingoptions.
z+Z Undo the last action.
z+Y Redo the last action.
SHIFT+z+P Open the Project Gallery.
z+M Minimize the active window.
z+H Hide Entourage.
z+Q Quit Entourage.

1.1) Keys for working in windows and dialog boxes

Press To
z+SHIFT+OPTION+N Open a new Entourage window.
z+1 Go to the Message list.
z+OPTION+1 Open the Message list in a new window.
z+2 Go to the Address Book. Press again to cycle throughcustom views in the Views list.
z+OPTION+2 Open the Address Book in a new window.
z+3 Go to the Calendar. Press again to cycle through Day,Work Week, Week, and Month views.
z+OPTION+3 Open the Calendar in a new window.
z+4 Open the Notes list. Press again to cycle throughcustom views in the Views list.
z+OPTION+4 Open the Notes list in a new window.
z+5 Open the Tasks list. Press again to cycle throughcustom views in the Views list.
z+OPTION+5 Open the Tasks list in a new window.
z+6 Open the Project Center. Press again to cycle throughcustom views in the Views list.
z+OPTION+6 Open the Project Center in a new window.
z+7 Open the Progress window or make it the activewindow.
z+8 Open the Error Log or make it the active window.
z+comma (,) Open the Preferences dialog box.
z+~ Cycle forward through open windows.

z+W Close the active window.

1.3) Keys for working with the Message list

Press To
z+SHIFT+OPTION+N Open the Message list in a new window.
z+N Create a new message.
SHIFT+z+N Create a new folder.
z+O Open the selected message.
z+\ Show or hide the Preview pane.
z+A Select all messages, if the Message list is the activepane.
SHIFT+z+A Deselect all messages.
z+D Duplicate the message.
z+DELETE Delete the message.
SHIFT+z+O Turn on or off displaying unread messages only.
z+OPTION+O Turn on or off displaying flagged messages only.
z+T Mark selected messages as read.
SHIFT+z+T Mark selected messages as unread.
OPTION+z+T Mark all messages in a folder as read.
z+L Refresh the Message list. (IMAP, Hotmail, News, andonline POP accounts only.)
OPTION+z+L Synchronize the contents of the selected mail folderwith the server (IMAP accounts only).

1.4) Keys for assigning items to categories

Press To
z+; Assign the selected item to categories.
SHIFT+z+; Open the Categories dialog box.
z+S Designate the selected category as the primarycategory.

1.5) Keys for searching

Press To
z+F Find text in items.
z+G Find the next instance of the text you searched for inan item.
z+SHIFT+G Find the next instance of the selected text.
z+PERIOD Cancel a search in progress.
OPTION+z+F Perform an Advanced Find.
z+SHIFT+F Perform a search on an IMAP server (IMAP accountsonly).

1.6) eys for working with notes

Press To
z+N Create a new note.
z+O Open the selected note.
z+A Select all notes, if the Notes list is the active pane.
SHIFT+z+A Deselect all notes.
z+D Duplicate the note.
z+DELETE Delete the note.
z+[ Close the current open note and open the previousnote in the Notes list.
z+] Close the current open note and open the next note inthe Notes list.

1.7) Keys for working with tasks

Press To
z+N Create a new task.
z+O Open the selected task.
z+A Select all tasks, if the Tasks list is the active pane.
SHIFT+z+A Deselect all tasks.
z+D Duplicate the task.
z+DELETE Delete the task.
z+[ Close the current open task and open the previoustask in the Tasks list.
z+] Close the current open task and open the next task inthe Tasks list.

1.8) Keys for using the Calendar

Press To
z+N Create a new calendar event.
z+O Open the selected calendar event.
z+DELETE Delete the calendar event.
z+T Switch the view to include today.
z+[ In Day view, move to the previous day. In Week andWork Week views, move to the previous week. In Monthview, move to the previous month.
z+] In Day view, move to the next day. In Week and WorkWeek views, move to the next week. In Month view,move to the next month.

1.9) Keys for using the Address Book

Press To
z+N Create a new contact.
z+O Open the selected contact.
z+\ Show or hide the Preview pane.
z+A Select all contacts, if the Address Book is the activepane.
SHIFT+z+A Deselect all contacts.
z+D Duplicate the contact.
z+DELETE Delete the contact.
z+[ Close the current open contact and open the previouscontact in the Address Book list.
z+] Close the current open contact and open the nextcontact in the Address Book list.
z+' Flag the selected contact.
OPTION+z+' Clear the selected contact's flag.

1.10) Keys for using the Project Center

Press To
z+N Create a new project.
z+O Open the selected project.
z+D Duplicate the project.
z+DELETE Delete the project.

1.11) Keys for using the Help window

Press To
z+? Open Entourage Help.PAGE UP Scroll toward the beginning of a Help topic one screenat a time.PAGE DOWN Scroll toward the end of a Help topic one screen at atime.UP ARROW Scroll toward the beginning of a Help topic one line at atime.DOWN ARROW Scroll toward the end of a Help topic one line at a time.
z+LEFT ARROW Go to the previous Help topic.
z+RIGHT ARROW Go to the next Help topic.
z+C Copy the selection to the Clipboard.
z+W Close the Help window.
2) Keyboard shortcuts for messages

2.1) Keys for reading messages

Press To
z+O Open the selected message in a separate window.
z+' Flag the selected message.
z+SHIFT+' Flag the selected message for follow-up.
OPTION+z+' Clear the flag for the selected message
z+SHIFT+J Mark the selected message as junk mail
z+SHIFT+OPTION+J Mark the selected message as not junk mail.
z+[ Display the previous message.
z+] Display the next message.
z+= Add the sender of the selected message to theAddress Book.
SHIFT+z+M Move the selected message to a folder.
SHIFT+z+HYPHEN Decrease the display size of text in an open messageor in the Preview pane.
SHIFT+z+= Increase the display size of text in an open message orin the Preview pane.
SHIFT+z+H Show or hide Internet headers.
CTRL+[ Display the previous unread message.
CTRL+] Display the next unread message.
SPACEBAR Scroll down to the next screen of text or, if you are atthe end of a message, display the next unreadmessage.
SHIFT+SPACEBAR Scroll up to the previous screen of text.
OPTION+SPACEBAR Scroll down to the next screen of text or, if you are atthe end of a message, delete the current message anddisplay the next unread message.Hold down the
SPACEBAR Scroll down through a message slowly andcontinuously.
OPTION+z+[ Delete the current message and display the previousmessage.
OPTION+z+] Delete the current message and display the nextmessage.

DELETEorDELDelete the selected message.

2.2) Keys for reading grouped messages

Press To
CONTROL+SHIFT+[ Read the last unread message of a previous group thatcontains an unread message.
CONTROL+SHIFT+] Read the first unread message of the next group thatcontains an unread message.
SHIFT+z+[ Read the last message in the previous group.
SHIFT+z+] Read the first message in the next group.
SHIFT+OPTION+z+[ Delete the current message and read the last messagein the previous group.
SHIFT+OPTION+z+] Delete the current message and read the first messagein the next group.
OPTION+CONTROL+SHIFT+[Delete the current message and open the last unreadmessage in a previous group that contains an unreadmessage.
OPTION+CONTROL+SHIFT+]Delete the current message and open the first unreadmessage in the next group that contains an unreadmessage.
OPTION+z+DELETE Delete all the messages in the group.

2.3) Keys for creating, addressing, and sending messages

Press To
z+N Create a new message.
z+OPTION+N In the Message list for a newsgroup, create a new mailmessage.
z+RETURN Send the open message.
z+SHIFT+RETURN Move the open message to the Outbox, so it will besent the next time you connect to the server.
z+K Send all messages in the Outbox and receive allincoming messages.
SHIFT+z+K Send all the messages in the Outbox.
z+S Save the open message and store it in the Draftsfolder.
z+E Add an attachment to the open message.
OPTION+z+L Check spelling in the open message.
OPTION+z+C Check recipient names in the open messages.

2.4) Keys for responding to messages

Press To
z+R Reply to the sender of the message or, if the messageis from a mailing list, reply to the mailing list.
SHIFT+z+R Reply to all.
OPTION+z+R Reply only to the sender of a mailing list message.
z+J Forward the message.
